Terms & Conditions

Updated February 2020

Employers interested in participating in the Snohomish County Career Fair are bound by all our Terms & Conditions stated below.

These Terms & Conditions and the Employer Registration Form must be read carefully by all Employers to avoid any unforeseen miscommunications and misunderstandings prior to, during, and after the Career Fair.

By submitting the completed Employer Registration Form, the Employer accepts and agrees that he/she will be bound to and agrees to comply with all Terms & Conditions.

Registration Fees

Standard Booth: $550*

The Standard Booth includes:

  • (1) 8-foot wide booth
  • (1) 6’x2.5’ table with skirting
  • (2) Chairs
  • Breakfast buffet
  • (2) Lunch meal tickets
  • Advertising Bundle ($800+ value)
    • (1) 2 col (3.25”) x 5.5” full color display ad in the Career Fair Broadsheet
    • (1) 30-day Online Job Posting at PNWcareers.com with:
      • MaxRecruit aggregator distribution
      • Featured Job
      • Diversity Network
      • Veterans Network
      • Social Network
    • 25K impressions digital employment advertising at HeraldNet.com, to be used within 3 months of the Career Fair
    • 20% off additional employment advertising with HeraldMedia and PNWcareers.com for 3 months following the Career Fair

* Early Bird registration is just $500; Introductory registration, for organizations that have not previously attended, is just $450. Any applicable discount will be applied to your invoice.


Sponsorship Booth: $3,500

The Sponsorship Booth includes:

  • (1) 16-foot wide booth
  • (2) 6-foot wide tables with skirts

  • (4) Lunch meal tickets
  • Advertisement Package ($3,000+ value)
    • (1) 6 col (10”) x 10.5” full color display ad in the Career Fair Broadsheet
    • (3) 30-day Online Job Postings at PNWcareers.com with:

    • 100K impressions digital employment advertising at HeraldNet.com, to be used within 3 months of the Career Fair

  • Company name and Sponsorship logo listed on Snohomish County Career Fair promotions
  • 250-word feature story, provided by your organization, published in the Career Fair Broadsheet
  • Pens and grab bags (15”x11”) with company logo, 500 quantity each, for job-seekers
    • An alternate company logo package may be chosen by The Daily Herald if there are multiple Career Fair Sponsors

Billing Invoice and Payments

A billing invoice will be sent to the email address on your Employer Registration within one full business day of registration submission. Payment will need to be made either (A) in the form of a check by mail to The Daily Herald, Attn: Career Fair, Box 930, Everett, WA 98206, or (B) by Visa, MasterCard, or American Express by phone at 425-339-3074. The deadline for payment will be indicated on the billing invoice. If payment is not made by the indicated deadline, and your organization has an existing billable account with Sound Publishing, Inc., you will be billed accordingly.

Electricity

A power strip can be made available in your booth for an additional fee of $20. If you expect to need electricity at your booth, please mark your registration appropriately. The $20 fee will then be included on your invoice.

Career Fair Broadsheet

The Sunday prior to the Snohomish County Career Fair, the Career Fair Broadsheet section is published in The Daily Herald. This is a pull-out (approximate 6-page) section dedicated to Career Fair information, including display advertisements for each of our Career Fair Employers. Your display advertisement should be focused on drawing job seekers to your booth at the Career Fair and/or applying for a position with your organization outside of the event.

To have your advertisement included in this section, The Daily Herald must receive your registration payment and ad information on or before April 3, 2020.

If payment and/or ad information is received after April 3, 2020, but on or before April 20, 2020, your display advertisement will be published on the same date as the Career Fair Broadsheet, but will instead be placed in the Classified Employment section of The Daily Herald.

If payment is received after April 20, 2020, you are forfeiting publication of the display advertisement, and no compensation or discount will be provided.

Online Job Posting(s)

With the purchase of your booth you will be provided with one 30-day online job posting (3 postings with the purchase of the Sponsorship) at PNWcareers.com, The Daily Herald’s online job board. The online job posting is text-only, and has a minimum word count of 150. 200-2000 words are encouraged!

The online job posting package will be placed on your PNW Careers Employer Account after April 3, 2020, so long as your registration payment has been received. If you do not yet have an employer account, one will be created for you. The Snohomish County Career Fair staff/Daily Herald Recruitment Specialist will ensure you have access to your employer account, and can assist you in posting your job on the website if you desire.

Door Prize Contribution

A $100 Visa Gift Card prize drawing for job-seekers will be held at 1:00 p.m. on the day of the Career Fair. Job-seekers can receive one drawing entry by pre-registering and submitting their resume via SnoCoCareerFair.com, and a second drawing entry for attending the Career Fair and visiting the Registration Table.

Your organization can gain access to these resumes by contributing $10 toward the Door Prize by April 20, 2020. To contribute, check the appropriate box on the Employer Registration form; the $10 will be added to your billing invoice. Resumes will be distributed to Door Prize Contributors within the week following the Career Fair.

The number of prizes will be determined based on the amount of contributions received.

Employer Check-In, Booth Setup/Teardown

Employer check-in and booth setup begins at 8:30 a.m. Please stop by the Check-In Table to announce your arrival and be shown to your booth. The booth must be prepared for job-seekers by 10:00 a.m.

The Career Fair is open to job-seekers until 2:00 p.m., and as such, so should your booth; please do not pack up your area early. Employers are responsible for ensuring all belongings are removed from their booth.

Meals & Beverages

Breakfast

A buffet-style breakfast will be available for employers from 9:00 a.m. to 9:30 a.m.

Lunch

Purchase of the Standard Booth comes with 2 lunch tickets, and purchase of the Sponsorship comes with 4 lunch tickets. Any additional lunches needed are $30, and will be added to your billing invoice.

If you plan to have more than 2 (4) representatives tend your booth and wish to have meal tickets for the additional people, please mark accordingly on the Employer Registration Form to ensure the appropriate lunch meal count during the event.

Lunch tickets will be distributed by Career Fair Staff shortly before lunch is available. Additional lunch tickets will not be handed out beyond the amount allotted with your package purchase, unless paid for with your registration fee.

Lunch will be available from 12:00 p.m. to 1:00 p.m., and can be consumed in the banquet room or at your booth. You will be asked for your lunch ticket when picking up your lunch. Please make arrangements between representatives to ensure lunch is picked up in a timely manner. Special accommodations will not be made if the lunch hour is missed.

Dietary Restrictions

Dietary restrictions (vegan, gluten free, etc) will be accommodated to the best of the ability of the Career Fair staff. Please indicate on the Employer Registration Form any dietary restrictions your organization’s representatives may have.

Beverages

Ice water will be available throughout the event at one or more water stations inside the ballroom. Coffee and hot water will be available throughout the event in the banquet room across the hall from the ballroom.

Job-Seeker Attendance

The Career Fair is highly advertised through multiple channels, however, attendance level cannot be guaranteed by the Organizer. The anticipated number of job-seekers expected is based on prior Fairs’ average attendance.

Music/Noise

The event area is a large, open space, and can become fairly loud with the large number of attendees. Music will not be played overhead, as it would cause a disruption to conversations between you and job-seekers. You are, however, allowed to play music or other sounds at your booth, provided it is kept at an acceptable level so as not to disrupt event activity and surrounding booths.

Complimentary Booths

A select few Employers/Exhibitors may be invited to attend the Career Fair at no charge, in exchange for providing a service to job-seekers or the Fair. These Terms & Conditions also apply to those invited to attend for free.

Non-Discrimination

The Snohomish County Career Fair organizers are prohibited from discriminating against any individual on the basis of race, color, religion, sex, national origin, age, disability, political affiliation or belief. This event is open only to those employers whose practices are consistent with this policy, as well as all applicable laws and regulations governing employment discrimination.

Employer Cancellation

Cancellations received via email on or before April 3, 2020 will receive a full refund. No refunds will be issued after the cancellation deadline. Organizations that have any outstanding fees with Sound Publishing, Inc. will not be permitted to attend the Career Fair or receive any package benefits until their account is paid in full.

Employer No-Show

Organizations that do not check-in by 9:30 a.m. on the day of the event will be considered a “no show” and their booth may be reassigned. The registration fee will not be refunded or credited toward any future event.

Unforeseen Circumstances

Any unforeseen events, inconveniences, weather conditions, etc. beyond the control of the Organizer, that may cause the Fair to be postponed, abandoned or altered in any way, or if the Organizer finds it necessary to change the dates of the Fair, the Organizer will not be liable for any expenditure, damage or loss incurred by the Employer. The costs already incurred for the production of the Fair at the time of cancellation will be covered and equitably calculated by the Organizer.

If by postponement the Fair can still take place, the contract (Registration Form) between the Organizer and the Employer must remain in force. The Employer will not be eligible for any refund whatsoever by Fair Management, and will not receive reimbursement if the Employer incurred additional costs associated with the Fair (travel and hotel expenses, damages, loss, shipping and handling, etc.).
